Steps to Getting Race Insurance

Sports insurance is crucial for a race as it protects the organizers from potential financial losses due to accidents, or other unexpected events. By having insurance in place, the organizers can be confident that they are protected and can focus on putting on a successful and safe race for all involved. Having said that, getting Insurance for whitewater paddling events has never been easy. Most insurance companies refuse to even consider an application if it has the words whitewater paddling or river are on it. Our goal is to help whitewater race organizers with the process and guide them in the right direction. Below are a few basic steps to get you started.

Step 1.
The first thing you will want to do is gather the following information, so that when you talk to the insurance agency, you can inform them of a clear plan for the event.

Some information they may ask for:

Name/Company of insured
Any additionally insurance (could be land owners, sponsors, etc)
What level of coverage do you need? Does your venue require a certain amount?
Date of event
The name and section of the river
River classification
What safety will be on the river?
Do you have an evacuation plan?
How many racers do you anticipate?
How many spectators do you anticipate?
Is it free to spectate?
Do your participants sign a waiver?

Step 2.
If you are having an awards party, there is a good chance you will need separate insurance policy, especially if you are having camping. Overnight camping is another sticking point for insurance, so be prepared.

Where is the party?
Do people pay to get in?
How many people do you anticipate?
What is the venue?
Is there camping?
Are you selling alcohol?
Is there live music?

Step 3
Once you received the quote, be sure to look over all the details making sure everything is accurate on the quote and you have included all your necessary additionally insured. And arrange the payment.

Step 4
Come race day, it is recommended you have a copy of your insurance on file and have a procedure for filing a report for any injuries that may occur come race day. On top of insurance, it is very important each participant signs your waiver and they are kept on file via paper or electronically. We recommend having waivers as part of registration, so racer check in can run a lot smoother.

Getting insurance is never easy and should be done ideally 60-90 days prior to your event.
